Modern lighting design software can model lux levels, uniformity and fitting layouts with impressive accuracy. Yet even the most carefully planned design can be affected by conditions that only become apparent once work begins on site.
“A lighting design always starts with a set of assumptions,” says Sello Leeuw, Head of Sales at Rubicon. “One of the biggest assumptions is that the drawings you're working from accurately reflect what is on site. Anyone who has been in the industry long enough knows that this is not always the case.”
For electrical contractors and engineers, this gap between design and reality can have significant implications for project timelines, installation costs and final performance.
When the site changes the design
A lighting design is developed as a complete system. It takes into account mounting heights, fitting spacing, beam angles, equipment layouts and the intended use of the space. However, site conditions can change long after the design has been completed.
HVAC ducting, fire services, data infrastructure, structural beams, ceiling changes and signage can all affect where fittings can be installed. Even operational decisions made later in the project can alter the lighting requirements.
“We often find that the lighting design is completed first, but other services are finalised afterwards,” says Leeuw. “A large duct, a fire pipe or a structural element can completely change how the space needs to be illuminated.”
A seemingly minor change, such as increasing a mounting height by 500 mm to clear an obstruction, can significantly increase the number of fittings required to achieve the same light levels. That can result in additional cabling, more installation hours, increased electrical load and higher project costs.
Why early site verification matters
For contractors, one of the most effective ways to avoid costly reworks is to review the lighting design against actual site conditions before installation begins.
“Take the drawings and walk the site,” says Leeuw. “Before laying a single metre of cable, verify that what is shown on the drawings matches what is actually there.”
This includes checking mounting locations, ceiling construction, service routes, equipment layouts and any physical constraints that may affect the installation.
“Most issues are relatively easy to resolve when they’re identified early,” says Leeuw. “Whether it's a site visit, a quick video call or a design revision, early collaboration helps everyone stay aligned and keeps the project moving.”
The cost of identifying a mismatch early is minimal compared to the cost of discovering it halfway through a project.
“If anything on the plan does not match what you see on site, flag it with the designer or engineer so the most appropriate solution can be found,” says Leeuw.
Why one-for-one replacements don't always make sense
Many facilities still approach lighting retrofits as a like-for-like replacement exercise. However, advances in lighting technology often mean that the original design assumptions are no longer relevant.
A space that previously required two fittings may now require only one. Different optics, improved efficacy and better light distribution can fundamentally change the most efficient solution.
“Technology moves on,” says Leeuw. “A one-for-one replacement can lock you into the same layout, the same fitting count and the same inefficiencies. Often stepping back and reassessing the entire space delivers a far better outcome.”
A collaborative approach delivers better results
Successful lighting projects depend on collaboration between designers, engineers, contractors and suppliers. When all parties work from the same understanding of site conditions, issues can be resolved before they become delays.
